Know what your clinic actually did this week

Hivemanager.io reads your appointments, invoices and rosters and gives you the picture back: what you sold, who came back, which hours are full and which ones are burning payroll. It's on screen when you open it, with nothing to export or rebuild first.

Sample figures from a demo clinic.

The quick version

Analytics in Hivemanager.io turns the work your clinic already did into numbers you can act on. Pick a week, month or year and every figure sits next to the same period before it, or the same period last year, so seasonal clinics are not fooled by a quiet January. You see revenue split into packages, products and appointments, revenue per rostered hour, ten client health metrics including second visit rate and lifetime value, a colour-graded map of when appointments actually land, and where every rostered hour went across your team. The trend chart also shows what is already on the book for the days ahead, which is the difference between reporting and planning. Included in every plan from $35/month (CAD or USD).

Comparison

A number on its own tells you nothing

Sales for a week is just a figure until you know what last week did. Sales, discount and total all appear for the period you pick, each one sitting next to the same period before it, with the direction of travel marked.

  • Week, month or year as your reporting window
  • Compare against the previous period, or the same period last year
  • Step back through past weeks, months or years in one click

Sales $18,420 ▲ 12.4%
Discount $610 ▼ 8.0%
Total $17,810 ▲ 13.1%

Revenue mix

Where the revenue actually came from

Two clinics can bill the same total and run completely differently. The period splits into packages, products and appointments in dollars, plus the number of completed appointments, so you can see whether a strong month came from more clients or from a few big package sales.

Alongside it sits the number most clinics never calculate: revenue per hour. Divide revenue by the hours your team was actually rostered and you can see what an hour of open schedule is worth, and whether adding hours is paying for itself.

Revenue mix

  • Appointments $14,210
  • Packages $2,980
  • Products $1,230

Completed appointments

Trend

Last period, this period, and what's already booked

One chart, switchable between sales and appointments, broken down by the period you're viewing: months across a year, days across a month, days of the week across a week. Each bar shows three things: what this period did, what the comparison period did, and what's already on the book for the days ahead. That last one is the difference between reporting and planning.

  • This week
  • Last week
  • Already booked

Saturday is tracking well under last week, and it hasn't happened yet. That's a gap you can still fill.

Client health

Retention, in numbers you can act on

Most clinic software counts bookings. This measures whether clients stay, with each metric's definition one hover away. If your second visit rate is 40%, no amount of new client marketing fixes the clinic. That's a front desk and rebooking problem, and now you can see it.

486

Clients whose last appointment falls within the booking frequency window, or who have a future appointment booked

Density

See your busy hours, not just your busy weeks

A colour-graded grid of when appointments actually land. Use it to decide when to roster a second therapist, when to open a Sunday, and which quiet blocks are worth promoting.

  • Week view: hour by hour, 7am to 8pm, across every day
  • Month view: day of week against month
  • Year view: month against year

Rostered hours

Rostered hours, honestly accounted for

A stacked bar per team member showing every rostered hour split into completed, confirmed, busy, cancelled and available.

You can see who is genuinely full, who has open time that isn't being booked, and where cancellations are quietly eating a therapist's week. It's the conversation starter for a one-on-one, and the evidence for whether to add hours or trim them.

Where the hours went

  • Completed
  • Confirmed
  • Busy
  • Cancelled
  • Available

You choose who sees the numbers. Analytics sits behind its own permission, so revenue and client health are something you grant deliberately rather than something every login gets. Staff also only see the locations they're assigned to.

Common questions

What does the analytics dashboard in Hivemanager.io show?

It reads your appointments, invoices and rosters and gives you the picture back for whatever period you pick. Sales, discount and total against the period before it, revenue split into packages, products and appointments, revenue per rostered hour, ten client health metrics including retention and second visit rate, a colour-graded map of when appointments actually land, and a breakdown of where every rostered hour went. Included in every plan from $35/month (CAD or USD).

What is revenue per hour and how is it calculated?

Revenue per hour is your revenue for the period divided by the total hours your team was actually rostered. It answers a question most clinics never calculate: what is an hour of open schedule worth? It is the number to check before you add shifts, because it tells you whether the hours you already pay for are earning, or whether you are spreading the same revenue across more payroll.

What is second visit rate and why does it matter?

Second visit rate is the share of new clients who come back for a second completed appointment within 60 days of their first. It matters because it separates a marketing problem from an operations problem. If the rate is low, more new client marketing just pushes more people through a clinic they do not return to. That is a front desk and rebooking issue, and you cannot fix it until you can see it.

Can I compare this month against the same month last year?

Yes. Every number is shown next to a comparison period with the direction of travel marked, and you choose whether that comparison is the previous period or the same period last year. Seasonal clinics need the second one, otherwise a quiet January reads as a decline when it is just January. You can also step back through past weeks, months or years to see how far a trend actually runs.

Can I see the numbers for just one location?

Yes. Filter the whole dashboard to a single location or view the business as a whole. Access follows the locations a person is assigned to, so a location manager sees their own numbers and nothing else.

Can I control who at my clinic sees revenue numbers?

Yes. Analytics sits behind its own permission, so seeing the dashboard is something you grant deliberately rather than something everyone with a login gets. Front desk staff can run the schedule without seeing what the clinic earns.

Can I see what is already booked for the weeks ahead?

Yes, and it is the part most reporting tools leave out. The trend chart shows three things per bar: what this period did, what the comparison period did, and what is already on the book for the days ahead. Reporting tells you what happened. This tells you what is about to. If next week's bars look short, you still have time to do something about it.

Do I have to export anything to see these numbers?

No. The figures are on screen for the period you choose, with the comparison already calculated and every metric's definition one hover away, so there's no month-end pivot table to rebuild before you know how the clinic is doing. When you do need the underlying rows, for your accountant or your own analysis, that's what the reports are for: Sales and Payments export to Excel or CSV, and Staff, Clients and Services export to Excel.

Stop guessing how the week went.
